Faculty Members Affairs Division


Tasks


  • Contributing to preparing the work plan of the Human Resources Department and following up its implementation in coordination and cooperation with the concerned.
  • Reviewing and updating the policies for faculty members according to work requirements in coordination and cooperation with the concerned.
  • Receiving employment applications and classifying them electronically & manually and to classify then according to specializations, academic certificates and departments in the database.
  • Studying the actual needs of AAU for faculty members in accordance with the requirements & conditions of the accreditation in coordination and cooperation with the Accreditation Department.
  • Following up and implementing the decisions of the Council of Deans regarding the appointment of faculty members who are experienced and competent to achieve the requirements of the special accreditation in coordination and cooperation with the Accreditation Department.
  • Preparing paper and electronic files (on the computerized system) for faculty members, maintaining these files and updating them with new documents.
  • Pursuing the leaves of faculty members.
  • Preparing the contracts for faculty members and pursuing the dates of their expiry and renewal.
  • Following up the complaints and suggestions of faculty members and dealing with them with justice and transparency. Also, following up their closure and benefiting from suggestions for the purpose of their future improvement and development.
  • Preparing the necessary letters for faculty members such as (continuity of work, certificates of experience and the like).
  • Following up the overtime work for faculty members.
  • Going through the procedures of resignation and terminating the services of faculty members.
  • Preparing reports and statistics related to faculty members.
  • Calculating the percentages of job stability for faculty members at the level of the University and faculties.
  • Coordinating with the Visa & Residence Office for the purpose of obtaining residence permits for non-Jordanian faculty members.


Administrative Staff Affairs Division


Tasks


  • Contributing and preparing the work plan for the Human Resources Department and pursuing its implementation in coordination and cooperation with the concerned.
  • Reviewing and updating the policies for the administrative staff according to work requirements and in coordination and cooperation with the concerned.
  • Receiving employment applications and classifying them electronically & manually and to classify then according to specializations, academic certificates and departments in the database.
  • Implementing the procedures of selecting and appointing new members of the administrative staff through testing and interviewing them and ensuring their conformity with the conditions and needs of the required job.
  • Studying the actual needs for faculties, deanships and organizational units for vacancies regarding members of the administrative staff based on the organizational structure of each faculty or organizational unit.
  • Enhancing the performance of members of the administrative staff by holding workshops and training courses that develop their capabilities promote their skills and improve job performance.
  • Preparing paper and electronic files (on the computerized system) for members of the administrative staff, maintaining these files and updating with new documents.
  • Following up the attendance for members of the administrative staff through the fingerprint system and their leave and turnover rates.
  • Preparing the contracts for members of the administrative staff and pursuing the dates of their expiry and renewal.
  • Following up the complaints and suggestions of members of the administrative staff and dealing with them with justice and transparency. Also following up their closure and benefiting from suggestions for the purpose of their future improvement and development.
  • Preparing the necessary letters for members of the administrative staff such as (continuity of work, certificates of experience and the like).
  • Following up the overtime work for members of the administrative staff.
  • Going through the procedures of resignation and terminating the services of members of the administrative staff.
  • Preparing statistics related to members of the administrative staff.
  • Preparing forms for the annual performance evaluation and pursuing the implementation of the recommendations contained therein.
  • Calculating the annual increases for members of the administrative staff and submitting them to the AAU President for approval.


Central Bureau Division


Tasks


  • Contributing and preparing the work plan of the Department of Human Resources and following up its implementation in coordination and cooperation with the concerned.
  • Receiving, recording and distributing internal correspondence to the relevant organizational units and following up the procedures regarding it.
  • Distributing administrative circulars to faculties, deanships and organizational units.
  • Recording and classifying the official correspondence received by the University and turning it to the relevant organizational units, each according to its specialization.
  • Archiving and preserving incoming and outgoing letters and correspondence according to the coding in force.
  • Following up the implementation of documenting, saving and archiving of documents in paper and electronic form at the University level.
  • Following up the implementation of the organizational units of electronic correspondence and archiving system.
  • Preserving the various documents; storing them in places designated for them; setting a document classification mechanism and facilitating access to them upon request.
  • Following up whatever the organizational units receive such as books and journals dedicated to the University, each according to its specialization.
  • Following up the correspondence of the organizational units sent via the Jordan Post Office through the Central Bureau Division.
  • Following up receiving invitations or official and personal letters related to University employees at all levels.
  • Following up whatever the organizational units receive such as promotional and advertising materials sent to the Central Bureau Division to be distributed according to the topic.
